KudosStream ("we," "us," or "our") operates the KudosStream platform, accessible at wordpress.kudosstream.com (the "Service"). This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our Service.

By using KudosStream, you agree to the collection and use of information in accordance with this policy. If you do not agree, please do not use the Service.

2. Information We Collect

2.1 Information You Provide Directly

  • Account registration information: name, email address, and password
  • Business information: business name, Google Business Profile details, Facebook Page details
  • Customer contact information you upload for the purpose of sending review requests (e.g., customer names and email addresses)
  • Payment information: billing address and payment card details (processed by Stripe, Inc.; we do not store full card numbers)
  • Communications you send us, including support requests

2.2 Information Collected Automatically

  • Log data: IP address, browser type, pages visited, time and date of visits, and referring URLs
  • Device information: hardware model, operating system, and browser version
  • Cookies and similar tracking technologies (see Section 7)
  • Usage data: features used, review request activity, widget interactions, and dashboard actions

2.3 Information from Third Parties

  • Review data synced from your connected Google Business Profile and Facebook Page, including review content, ratings, reviewer names, and timestamps
  • OAuth tokens used to authenticate your Google and Facebook connections

3. How We Use Your Information

We use the information we collect to:

  • Provide, operate, and maintain the KudosStream Service
  • Send review request emails to your customers on your behalf
  • Sync and display reviews from Google and Facebook in your dashboard
  • Process payments and manage your subscription
  • Send transactional emails such as account confirmations, billing notices, and support replies
  • Analyze usage patterns to improve our features and performance
  • Detect, investigate, and prevent fraudulent or unauthorized activity
  • Comply with legal obligations

We do not sell your personal information or your customers' personal information to third parties.

4. How We Share Your Information

We may share your information with:

  • Service providers: trusted vendors who help us operate the Service. They are contractually obligated to protect your data and use it only for the services they provide to us. Examples include:
    • Stripe, Inc. — payment processing, subscription billing, and the Stripe Customer Portal. Stripe receives billing-related personal data and handles payment card information under its own terms and privacy policy. We do not store full payment card numbers on our systems.
    • Cloud infrastructure and database providers — hosting for our application and APIs, and stored Service data.
    • Email delivery — we send transactional email and review requests using SMTP through the mail infrastructure configured for our deployment (for example, Google when using Gmail or Google Workspace SMTP, or another transactional email provider, depending on how our mail relay is set up).
  • Google and Facebook: when you connect these platforms, we exchange data (including OAuth tokens and review data) with their APIs under their respective terms of service.
  • Legal authorities: when required by law, court order, or to protect the rights, property, or safety of KudosStream, our users, or the public.
  • Business transfers: in connection with a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction. We will notify you before your information becomes subject to a different privacy policy.

5. Data Retention

We retain your account information and associated data for as long as your account is active or as needed to provide the Service. If you cancel your account, we will delete or anonymize your data within 90 days, except where we are required to retain it for legal, tax, or compliance purposes.

Customer contact information you upload for review requests is retained only as long as necessary to fulfill the requested send operations.

6. Data Security

We implement industry-standard security measures to protect your information, including SSL/TLS encryption for data in transit, encrypted storage for sensitive credentials, and regular security reviews. However, no method of transmission over the Internet or electronic storage is 100% secure. We cannot guarantee absolute security.

If we become aware of a data breach that affects your personal information, we will notify you in accordance with applicable law.

7. Cookies and Tracking Technologies

We use cookies and similar technologies to:

  • Maintain your login session
  • Remember your preferences
  • Analyze how the Service is used
  • Measure the effectiveness of our marketing

8. Third-Party Integrations

KudosStream integrates with Google and Facebook. Your use of these integrations is subject to Google's Privacy Policy (policies.google.com/privacy) and Meta's Privacy Policy (privacycenter.fb.com/policy). We are not responsible for the privacy practices of these third-party platforms.

Showcase widgets you embed on your website may load assets from our servers. Visitors to your website who view these widgets are subject to this Privacy Policy with respect to any data we collect from widget interactions.

9. Your Rights

Depending on your location, you may have the following rights regarding your personal information:

  • Access: request a copy of the personal information we hold about you
  • Correction: request that we correct inaccurate or incomplete information
  • Deletion: request that we delete your personal information, subject to certain exceptions
  • Portability: request a machine-readable copy of your data
  • Opt-out of marketing emails: use the unsubscribe link in any marketing email we send

10. California Residents (CCPA)

KudosStream is not directed to children under the age of 13. We do not knowingly collect personal information from children under 13. If you believe we have inadvertently collected such information, please contact us immediately and we will delete it.

We may update this Privacy Policy from time to time. When we do, we will revise the "Effective Date" at the top of this page and, for material changes, notify you by email or by a prominent notice on our website. Your continued use of the Service after any changes constitutes your acceptance of the updated policy.
